Cancellation Policy
What happens if your date moves, your numbers change, or you need to call it off.

Plans change. Here is how we handle it, in plain terms, so nothing is a surprise later.
The policy
Changes and cancellation
Two things worth reading twice. Those windows are in working days, so 14 working days is about three calendar weeks, not two. And the change fee is 10% of your total invoice, not 10% of the change – on a large booking that is not a small number.
Inside 3 working days we will still try. It is not an automatic no, but it is a favour rather than a right, and it depends on whether the materials and the facilitators can still be moved.
Headcount
If your numbers change
Headcount is the most common change, and it is usually the easiest. Numbers going up is rarely a problem if there is room. Numbers going down is fine too, within the notice windows above – but every package has a minimum charge of 5 people, so a group that shrinks below 5 is still quoted at 5.
Tell us your best estimate early and adjust it later. That is what the notice windows are for.
Other situations
Weather, venues and our end
Every session we run is indoors, so rain does not cancel anything. If your own venue becomes unusable at short notice, talk to us straight away and we will look at moving the session to our studio.

How to actually cancel
The terms above are the standard ones. The terms that apply to your event are the ones written into your quotation – if we agreed something different with you, the quotation wins.
To change or cancel a booking, email [email protected] or reply to your confirmation. Please do not rely on a WhatsApp message alone for a cancellation – we need it in writing so there is a record with a date on it.
